Lunch Garden runs multiple locations, each with their own flexible team. For owner Stéphanie from Lunch Garden Tienen, that flexibility meant one thing: a lot of paperwork in the evening & weekends: Dimona declarations, contracts, hour reconciliation,… Digital scheduling and automatic payroll processing changed that.

About Lunchgarden

Lunch Garden is a multi-location lunchroom and café chain in Belgium. Each location runs with a small core team and flexible staff: part-timers, flexi-jobbers, and students who work shifts around busy periods. Like most hospitality operations, the HR challenge is not the people side, it is the admin side. Stéphanie, the owner, was spending her evenings and weekends on Dimona declarations, contracts, and hour reconciliation — work that had nothing to do with running a restaurant.

The challenge

  • Manual time registration — no visibility on who was actually working when
  • Dimona declarations handled by hand, late — a constant compliance risk
  • Contracts processed manually — each new flexi or student hire means paperwork
  • Hour reconciliation — gaps between the exact worked hours and what was filed
  • Payroll disconnected from reality — manual entry, manual corrections
  • Owner doing admin work evenings and weekends — time that should go to day to day running a restaurant instead

Every evening, I’d find myself doing Dimona declarations and hour reconciliation. It was work I had to do, but it took time away from actually running the restaurants.”

How bookU Workforce Management made the difference

Lunch Garden implemented bookU's time registration and planning & scheduling, integrated directly with  their payroll partner Acerta. One connection solved three separate jobs.

  1. Employees clock in and out through the app

No more manual hour sheets. The bookU Timer app records start, break, and end times automatically. The owner sees real-time presence on the floor.

  2. Digital contracts, automatic filing

Students & flexi's sign contracts in the app. Everything is documented and stored, no paperwork.

  3. Dimona declarations flow automatically

Dimona is generated automatically and from actual registered time, not guesses or manual lists.

  4. Payroll is accurate

Wages are calculated from registered hours, and payroll data goes straight to your payroll partner. No re-entry, no errors, no end-of-month panic.

  5. Staff communicate through the app

Schedules, shift changes, absences — everything is in one place. Employees check the bookU Staff app; the owner has full visibility.

The result

  • 2–3 hours per week freed up, no more evenings and weekends on admin
  • Everything accurate and on time, Dimona filed automatically, no compliance stress
  • One platform, one flow: from planning to clocking in to admin to payday

Before bookU, I had to do so much paperwork. Now employees just clock in, sign their contract, and everything is in order immediately.”
