What started with magnets on a board in the production hall grew into a fully digital planning process. More overview, less stress, and a schedule that moves with the rhythm of their seasons.
About Libeert
Libeert is a Belgian family-owned chocolate producer from Comines, active since 1923 and now in its fourth generation. The company makes seasonal chocolate figures and tablets — with well-known peaks around Easter and Saint Nicholas. During those busy periods, headcount doubles in a short time: alongside ±40 white-collar and ±50 permanent blue-collar workers, around sixty seasonal workers and 60 to 70 temp workers join the team. A planning challenge you can't leave to a whiteboard and good luck.
The challenge
Before bookU, everything revolved around a physical board in the production hall. Employees were tracked with magnets, shift leaders rearranged daily, and HR spent lunchtimes calling around to fill gaps. If someone didn't pick up, it was already a problem.
Daily stress with every change or absence
No visibility on the schedule for shift leaders or employees
Large amounts of HR time lost to manual follow-up
Forward planning around seasonal peaks was barely possible
Everything depended on individual memory — a real risk when people left
The temp agency operated completely separately from the internal planning
“There was always stress around that moment. If someone didn’t answer the phone, we were immediately at risk of a staffing shortage.”
Désirée Libeert
HR Director
How bookU made the difference
The switch to bookU happened step by step — with input from shift leaders and support in both Dutch and French. Not turning everything upside down at once, but gradually fixing what wasn't working.
Shift leaders plan independently — HR keeps the overview Shift leaders now work autonomously in the digital environment, within clear boundaries. HR no longer needs to be every link in the chain.
Automatic communication to employees Everyone receives their schedule automatically by email. No more phone calls, no more misunderstandings about who needs to be where.
Temp agency connected directly The on-site temp agency (AGO) sees open staffing needs directly in the system. Faster decisions, less back-and-forth email.
Integration with time registration (ProTime) Leave requests and availabilities are automatically synced — manual entry and errors are a thing of the past.
A planning process that holds up, even when people leave Processes are documented digitally and transferable. If a shift leader is absent or moves on, the way of working stays intact.

How TMI transformed its scheduling operations with bookU Staffing
TMI replaced its outdated manual planning process with bookU’s Connected Staffing solution. Cutting shift fills from 5 – 6 manual steps to one click and planner onboarding from three months to just thirty minutes. The result: TMI’s childcare division now runs with just two planners, who spend their time building relationships with care workers instead of chasing admin.
Fewer hours spending on Dimona’s & contracts for flexi’s and students at Lunchgarden
Lunch Garden runs multiple locations, each with their own flexible team. For owner Stéphanie from Lunchgarden Tienen, that flexibility meant one thing: a lot of paperwork in the evening & weekends: Dimona declarations, contracts, hour reconciliation,… Digital scheduling and automatic payroll processing changed that.
From chaos to clarity at Flower shopt LOTS Flower Art
LOTS Flower Art is a flower shop with a lot of events and weddings on the side. The team is small and flexible: one permanent, twenty flexi and student workers. The planning used to be relentless. Today with bookU it is the opposite.
