LOTS Flower Art is a flower shop with a lot of events and weddings on the side. The team is small and flexible: one permanent, twenty flexi and student workers. The planning used to be relentless. Today it is the opposite.
About LOTS Flower Art
LOTS Flower Art is a florist run by Lieselot Jonnaert. The business has two faces: a walk-in flower shop and event and wedding floristry. The team is structured to flex: one permanent employee, alongside roughly twenty flexi-jobbers and student workers who come in for busy days and seasonal peaks. For Lieselot, that flexibility was also the hardest part to manage: everything lived in her head, in her messages, and in the inbox.
The challenge
Planning scattered across phone, email, and notebooks - No single source of truth for who works when
Availability scattered across different people and conversations — asking twenty flexis every week when they are available was a job in itself
Every shift change meant another round of messages — and not everyone got it right
Time registration separate from the planning — clocking in and out was manual, and wage calculations had to be corrected by hand
Dimona declarations were a end-of-month nightmare — all the changes and overruns had to be re-entered, by Lieselot, after the month was closed, with fines from social security as a result
The connection to Acerta (payroll partner) was manual — wage data had to be typed in again instead of flowing straight through
“Every week, I’d message twenty people to ask when they could come in, and then try to fit them into the shifts I needed. It cost me hours, and people still got confused about when they were supposed to show up.”

How bookU Workforce Management made the difference
The shift was straightforward: one tool for scheduling, time registration, and wage processing.
Schedules that everyone sees in one place
Availabilities through the bookU staff app, so building next week's schedule is matching, not guesswork. Every team member — permanent, flexi, or student — checks the bookU Staff app to see when they need to work.
No more messages about shifts
Once the schedule is made, the team knows. No more texting twenty people or worrying that someone missed the message.
Time registration through the tablet
Clock in and out with a personal pin on the bookU Timer app. Start, break, and end times are recorded automatically, and there is no way to forget.
One flow from hours worked to wages paid
Registered hours flow directly to Acerta, the payroll partner they work with, so the wage data is live and accurate. No re-entry, no errors, no end-of-month panic.
Dimona declarations follow the real hours
Because the time registration is linked to the planning, Dimona declarations are built from what actually happened. No guesses or corrections. If someone stays late, it adjusts automatically.
